Cancellation by Hosts
a. Cancellation Policies
Hosts have the flexibility to choose from various cancellation policies based on their preferences. These policies determine the refund amount for users who cancel their bookings. Here are the available options:
- Flexible Cancellation: Hosts can offer a full refund if the user cancels within a specified time frame (24 hours before the booking date). This encourages users to book with confidence. 75% Refund to Guest: If canceled after 24 hours before the booking.
- Moderate Cancellation: Hosts can provide a partial refund if the user cancels within a certain period (7 days before the booking date). This strikes a balance between flexibility and host protection. 75% Refund to Guest: If canceled after 7 days before the booking.
- Strict Cancellation: Hosts can set stricter terms, allowing only a partial refund for cancellations made well in advance (14 days before the booking). 75% Refund to Guest: If canceled after 12 days before the booking; 50% Refund to Guest: If canceled after 7 days before the booking
- Cast-Iron Cancellation: For hosts who prefer firm terms, this option allows only a partial refund or no refunds for cancellations made well in advance (30 days before the booking). 75% Refund to Guest: If canceled after 25 days before the booking; 50% Refund to Guest: If canceled after 15 days before the booking; 25% Refund to Guest: If canceled after 7 days before the booking.
b. Host Responsibilities
- Clear Communication: Hosts must clearly communicate their chosen cancellation policy in their listing description. Transparency ensures that users understand the terms before making a booking.
- Unforeseen Circumstances: If a host needs to cancel a booking due to unforeseen circumstances (such as property damage or unexpected events), they should promptly notify the user and work towards a fair resolution. In this case, Guests are entitled to a full refund.
Cancellation by Users (Guests or Crew)
a. Refund Eligibility
- Users can cancel their bookings through their ShootFolder.com account.
- The refund amount depends on the host’s selected cancellation policy.
- Before making a booking, users should carefully review the specific cancellation terms associated with the listing.
b. Timely Cancellations
- Users are encouraged to cancel as early as possible to maximize their refund.
- Late cancellations may result in reduced refunds or no refund at all, depending on the host’s policy.
c. Partial Refunds
If a user cancels after the specified full refund period (e.g., beyond 24 hours for flexible cancellation), the host may offer a partial refund based on the remaining time until the booking date.

Exceptions and Force Majeure
Force Majeure: ShootFolder.com recognizes that certain events (such as natural disasters, government restrictions, or health emergencies) may prevent users from fulfilling their bookings. In such cases, users should promptly notify the host & Shoot Folder support team and provide relevant documentation, if relevant. Shoot Folder support team will assess force majeure situations on a case-by-case basis.
Refund Process
- Initiating Refunds: When a cancellation occurs, the refund process begins automatically. Users can expect to receive their refund within a reasonable timeframe, typically within 5-10 business days.
- Payment Method: Refunds are issued to the original payment method used for the booking. If the user paid via credit card, the refund will be credited back to the same card. For other payment methods (e.g., PayPal, bank transfer), the refund will be processed accordingly.
- Communication: ShootFolder.com will notify both the host and the user via email once the refund has been initiated.
